The collaboration began at a time of busyness and urgency, but quickly grew into regular meetings, shared processes, evaluations and new opportunities. Our core value of “growth” sums up this relationship perfectly.

From the beginning, we used our passionate staff intensively. They initially fulfilled the role of host in a fantastic environment where everything was upside down. On April 20, we had the opportunity to prove ourselves in project management as well. Although it was ultimately a success, the logistical complexity initially posed a great challenge, especially since the venue had not been used before for such large events.

A wonderful blend of The Upside Down experience with additions such as a cocktail bar, 1-on-1 service and a tour of the different rooms of the experience, where Mercuur’s catering and events provided the catering and we provided the hospitality.

Our team manned the entire event: waiters, hostesses, cocktail shakers and party managers. This was a special moment where we were able to passionately provide our service and maintain our high standard of quality, thanks to the freedom we were given. This was the first event of this magnitude at The Upside Down and we are proud that Served with Passion was able to contribute to it. We received rave compliments from the client for our service and quick response to last-minute changes due to the unexpectedly large turnout.

Originally expecting 200-250 guests, the number grew to 400 without expanding our team. Still, the service was flawless and personalized, thanks to the tight plan and pre-developed structure. This shows exactly what Served with Passion strives for: structure and effectiveness, driven by deep expertise in organizing events.

Responding to the unexpected
Prior to the event, we knew we would have 200-250 guests. To our surprise, this number grew to 400 on the day due to multiple last-minute registrations. This unexpected news required quick action and creative thinking. The team met immediately to come up with a plan B. During a hectic but productive brainstorming session, a new plan was created. This plan enabled us not to disappoint the customer and to maintain the high level of service despite the unexpected crowds. Thanks to the more efficient structure we implemented, we were able to serve everyone and ensure a successful evening.

Effectiveness and structure
Why is the bar located exactly where it is? Why do we host the champagne reception here when the guests all arrive by bus at the same time and we don't have enough staff members? These are important questions for us. For us, a plan is never a good plan without the "Why. Understanding the reasons behind every decision is crucial. Not only do we want everything to run smoothly, we want every choice we make to be logical and strategic. By constantly asking these questions, we ensure that our approach is well thought out and effective.
